Position Summary The Project Specialist is responsible to provide project management and clerical support to the director of communications in daily administrative activities in a timely manner The incumbent is also responsible to manage Directors communications and key project management Serves as the main point of contact between the director and internal or external stakeholders for information requests Manage appointments meetings MOMs and project plans and timelines Organise meetings in liaison with concerned parties to ensure meetings are properly planned and to avoid conflicting and overlapping schedules ensure efficient management of appointments diary and meeting schedule including timing priority setting and agenda preparation Draft reports memos circulars and other correspondence as required Inter-departmental activities coordination assigning of tasks follow-ups and ensuring deliverables are meeting set deadlines Proficiently manages spreadsheets databases and report generation Handle information processing filing archiving and retrieval ensure accuracy completeness timeliness integrity and confidentiality of documents Manages the administrative activities and Tracks manages firm state assignments and makes updates to the workflow systems Manage travel and accommodation services for the Director Requirements Minimum of a Bachelors Degree Full English proficiency is required Arabic is advantageous Advanced computer literacy is required e g MS Office MS Project MS Visio Reporting Working knowledge of Adobe suite is advantageous Ability to multi-task prioritize independently Ability to effectively manage multiple projects assignments simultaneously Ability to work in teams and interact with multiple levels of management functional departments Minimum of 3 years of relevant work experience in Workflow Management Operations Data Analysis Desired Project Management experience The Higher Colleges of Technology is committed to the recruitment and development of UAE Nationals We encourage applications from Emirati candidates who can contribute to the HCTs mission Click here to view the complete Salary and Benefits Salary Benefit details will be provided to short listed candidates
