Role Profile

Purpose of Role

The role of the Human Resources Officer covers the various activities of Human Resources in the school. They are the first point of contact for staff during daily school operations to provide a professional organized HR service to all members of staff ensuring their needs are met alongside those of the relevant regulatory bodies. The post holder supports the HR Manager in the wellbeing of all staff in the school.

HR Officer Key Responsibilities

- Stay updated with all changing QFE Guidelines from ADEK.





Provide assistance to both new joiners and existing staff members, ensuring that, when necessary for their respective positions/additional positions, any required supporting documents that are newly required by ADEK are promptly completed to facilitate the approval/renewal process, to ensure seamless and fully compliant inspection.
- Update the teaching cycle and subject of all the staff as and when required on ADEK Pass.
- Implement timely execution of ADEK Pass renewal processes, completing them at least one week in advance of their expiration dates. Autonomously process the renewal on behalf of the staff members.
- Ensure regular updates to both the QCC and the DOT documentation on Pass,





and oversee the timely renewal for those staff assigned to bus assistant roles.
- Maintain the regional background check compliance records to systematically record all employee data. Uphold continuous compliance by promptly updating expired police clearances as required, ensuring that the school consistently adheres to ISP regulatory standards.
- Screen applicants based on directed requisitions through the Jobvite platform, following instructions from the HR manager. Thoroughly review resumes to verify that qualifications and experiences align with ADEK eligibility criteria for approval before shortlisting candidates for managerial approval.
- Maintain a comprehensive log of the expiration dates of all staff members' ILOE insurance,





and issue timely reminders for renewal ensuring that the failure of any staff member to renew their insurance does not adversely impact the school's trade license.
- Promptly remove leavers' medical insurance coverage from the group policy and issue the corresponding Certificate of Coverage (COC) without delay.
- Facilitate and support staff members in processing medical insurance claims by coordinating effectively with the claims department.
- Demonstrate a comprehensive understanding of the TOB and assist staff with any inquiries or concerns they may have. Maintain a record of feedback points for discussion during the renewal process.
- Ensure the timely issuance of important letters requested by staff, including but not limited to bank related letters and student finance letters,





within 48 hours from the time of the request.
- Be responsible for administration and clerical duties relating to all aspects of work including correspondence, records, databases for the school and across all teams and ensure all details of a task are complete.
- Compile soft copies of a variety of confidential records.
- Provide inter-departmental assistance as requested.
- Contribute to whatever school, team or office goal that has been identified.
- Assist with organizing school events and manage hospitality for meetings and events/functions throughout the year.
- Provide an effective and efficient office support function for all the school sections.
- Work towards enhancing the quality and efficiency of support and service.






- Establish and maintain effective working relationships with other school staff members and contribute to the general well-being.
- Support and provide necessary information to other members of the administrative and support services team.

HR Duties

- To support the school in the recruitment and induction of staff.
- To support the HR Manager in all HR operational processes.
- To ensure legal compliance by monitoring and implementing applicable human resource requirements.
- To liaise with various teams to ensure that new joiner apartments items are ready and in place before they join.
- To maintain historical human resource records by designing a filing and retrieval system; keeping past and current records.
- To keep up to date with best practice and legislation.






- To liaise with the PRO to ensure documentation required for governance is in order.
- To assist with organizing in house or off-site activities for all staff.
- To maintain a visible, professional and high profile within the school.
- To maintain absence records on the Cezanne database and google document on a daily basis.
- To log staff attendance and inform the HR Manager of patterns of staff attendance.
- To carry out other tasks as necessary to ensure the happy and smooth running of the school and HR Team.

Health and Safety

- Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities.
- Assist in implementing all policies and rules governing school operations and conduct.
- Ensure that all the necessary health and safety rules and procedures are being followed.
- Maintain an awareness of all the health and safety measures to be taken when in school.

Skills, Qualifications and Experience

- Bachelor’s or equivalent with HR Certifications.
- 2 years of experience in school.

Skills

- The ability to develop good personal relationships within a team.
- An effective and experienced communicator (written and verbal) to a variety of audiences.
- High level of IT competency.
