Position Purpose

The Move One Relocation Coordinator is a senior member of the relocation team (handling destination and immigration) and is the primary point of accountability for Move One’s Relocation Management Company clients (RMCs) regarding destination and immigration services in their assigned destination (Slovakia) and for assigned account in accordance to client´s alignment. The Relocation Coordinator is also responsible for supporting the Relocation Consultants in their assigned destinations with guidance, updates, and service related information as well as responsible for cost review and management.

Responsibilities / Duties / Functions / Tasks

1.





Confirming receipt of service initiations with Clients/RMCs within one business day and opening a new v3 job for all initiations within one business day, unless it has been done by the client.
2. Confirming billing details and service fees with service initiation if not specified by SLA.
3. Ensuring that all online systems, forms, and procedures are completed as per the relevant RMCs SLA.
4. Achieving a minimum of 95% satisfaction rate from all assignees via customer evaluation reports.
5. Managing a caseload of between 60-90 active cases depending on experience.
6. Making initial contact with any new Assignee to their destination within one business day of initiation and informing assignee that queries will be responded to within 4 working hours.
7. Assigning the newly initiated service to one of the local Destination Consultants and briefing them on important service details.
8. Explaining to the assignee Move One’s relationship to their employer and/or the RMC, confirming the service to be provided, sending needs questionnaires,





and asking about critical elements of the relocation.
9. Providing clear and timely updates and service reports to Move One clients and RMCs.
10. Collecting required data (answers to initial questions) and verifying it, further identifying the applicable full immigration procedure within 24hrs of receipt of documents or e-mail.
11. Monitoring changes in immigration legislation and reporting on new requirements/changes to all interested parties (Immigration Team / Country Manager / Product Manager / Clients).
12. Following up with the Assignee at the midway point of the service to provide an opportunity for feedback.
13. Immediately informing the Move One client/RMC of any service-related complaints, issues, or challenges,





as well as the Regional Operations Manager of any service issues.
14. Collecting feedback on the vendors and reporting to the Regional Operations Manager of any service issues arising from those feedback reports.
15. Ensuring that Destination templates and information in V3 and on the Move One website are always up to date.
16. Confirming that all required documents are uploaded in accordance with document naming protocol.
17. Ensuring that all services are invoiced within the shortest possible time after the service is completed, and sending an accurate invoice to the client/RMC within 5 working days of service.
18.





Supporting the Destination Consultant with guidance, advice, and training during the service.
19. Monitoring the Destination Consultant’s reporting in the system.
