**POSITION TITLE: RECEPTIONIST**
**Summary Description**:
Responsible in handling Front Office Reception and administration duties including but not limited to greeting guests and determinate’s a guest’s reservation status and identifies how long the guest will stay. Helps guests' complete registration cards and then assigns rooms, accommodating special requests whenever possible.
**A)** **Responsibilities and Duties**:
- Verifies the guest's method of payment and follows established credit-checking procedures.
- Places guest and room information in the appropriate front desk racks and communicates this information to the appropriate hotel personnel.
- Take guests' details and allocate their rooms
- Talk to transport carriers (such as airlines, bus companies and rental car agencies) to make and confirm travel arrangements for guests
- Inform guests of the hotel/motel's services and facilities, policies and procedures
- Provide tourist information to guests
- Make reservations for sightseeing tours, restaurants, the cinema and live entertainment
- Deal with enquiries and requests from guests
- Take messages for guests
- Finalize guests' bills and issue receipts upon payment
- Arrange accommodation for guests travelling to other destinations
- Perform cashier duties and exchange foreign currency
- Place guests' possessions in a safe if requested
- Coordinate the cleaning of guests' personal laundry, shoe Shining and room service deliveries
- Follow in-house procedures to help ensure the security of guests and employees
**Additional duties and responsibilities**:
- Ensure integrity and confidentiality of information at all times.
- To perform any additional requirement,
tasks and duties outside of his/her scope of work as deemed necessary by your Head of Department or the Management.

**Care of Equipment**
- Ensures maintenance and careful handling of equipment used.
- Ensures timely reporting of malfunction or maintenance deficiency to appropriate area.
**Training and Employee’s Activities**
- Attends scheduled trainings.
- Participates actively in company-initiated employee activities.
**Grooming and Hygiene**
- Adheres to the specified hygiene and personal appearance standards of the hotel and surrounding area.
**Attendance**
- Adheres to the set procedures for attendance and timekeeping.
**Company Policies and Procedures**
- Adheres to the provisions outlined in the Employee’s Handbook, Disciplinary Code, and Rules & Regulations.
**Environmental Awareness**
- Reduces waste of supplies and materials by re-using or selling.
- Recycles, when possible.
- Conserves water and energy by adhering to environmental / energy conservation checklist appropriate for the surrounding area.
- Maintains clean surroundings.
- Participates in activities concerning the protection of the environment.
**B)** **Legal Responsibilities**
To ensure that the standards required by Law and by Management are maintained at all times in all areas of operations.
