**Position: Admin/Personal Assistant**

**Job Overview**:
**Key Responsibilities**:
- **Administrative Tasks**:
- Prepare and manage company documents, contracts, proposals, and invoices.
- Coordinate with the accountant for invoicing and other financial matters.
- Maintain and organize digital files on Google Drive, ensuring easy access to important documents for the team.
- **Sales Support**:
- Receive calls and messages from potential leads and enter them into the company’s system.
- Assign leads to the sales team and follow up on the progress of the sales pipeline.
- Manage and update the sales process,
ensuring accurate and timely reporting on sales activities.
- **Client & Team Coordination**:
- Work closely with the Marketing Consultant and Account Manager to provide necessary documentation and administrative support.
- Provide event-related support to the Event Manager and Suppliers & Budgeting Manager when needed.
- Assist with scheduling meetings and calls for the CEO and other team members, ensuring effective time management.
- **Document & Process Management**:
- Handle the administrative process for purchasing and procurement, ensuring proper documentation.
- Manage office supply inventory, purchase orders, and vendor relationships.
- **CRM Management**:
- Update and maintain the company’s CRM with new leads, contacts, and client information.
- Ensure the CRM is up-to-date, and assist the sales team by organizing and managing lead assignments.
- **Personal Assistant to the CEO**:
- Manage the CEO’s schedule and appointments,
ensuring efficient use of time and resources.
- Organize and coordinate internal and external meetings, taking notes and following up on action points.
- Assist with travel arrangements, hotel bookings, and visa processing for employees when necessary.
- **Client Interaction**:
- Act as the first point of contact for client inquiries, filtering messages and directing them to the appropriate team members.
- Ensure effective communication between clients and the team for smooth project execution.
- **Office Management**:
- Ensure that the office environment is well-maintained and organized.
- Liaise with external vendors and service providers for office-related needs, including maintenance, office supplies, and more.
**Qualifications**:
- **Education**:
Bachelor’s degree in Business Administration or related field preferred.
- **Experience**: At least 2 years of experience in an administrative or secretarial role, preferably within marketing, events, or related industries.
- **Skills**:
- Excellent organizational and time management skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
- Experience with CRM systems is a plus.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and a high degree of accuracy.
Pay: AED3,000.00 per month
