Position Overview:
Key Responsibilities:
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, arranging travel, and preparing expense reports.
- Coordinate and prioritize incoming requests and correspondence,
ensuring that urgent matters are addressed promptly and efficiently.
- Prepare and edit correspondence, presentations, and other documents as needed, ensuring accuracy and adherence to company standards.
- Assist with special projects and initiatives as assigned by the executive team, conducting research, analyzing data, and preparing reports as required.
- Maintain confidentiality and discretion in handling sensitive information and documents, including personnel records, financial data, and strategic plans.
- Anticipate the needs of the executive team and proactively identify opportunities to streamline processes and improve efficiency.
- Coordinate logistics for meetings, events, and conferences, including venue selection, catering arrangements, and audiovisual setup.
- Collaborate with other administrative staff to ensure seamless communication and coordination across departments.
- Perform general office management duties, such as ordering supplies, coordinating equipment maintenance,
and overseeing office organization and cleanliness.
Qualifications:
- Bachelor's degree preferred
- Proven experience as an executive assistant or similar role, preferably in a media or entertainment company
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite and other productivity tools
- Strong organizational and multitasking abilities
- Ability to work independently with mínimal supervision
- Discretion and confidentiality in handling sensitive information
- Flexibility and adaptability to changing priorities and deadlines
- Positive attitude and willingness to take on new challenges
- Knowledge of media industry trends and terminology is a plus
