Our client, a multinational company is urgently looking for an Assistant Administration Manager ( Human Resources, Accounts, General Affairs, and IT ) to be based in Jebel Ali.
Reports to : Senior General Manager / Director
Reporting to Role : 8 Staff (HR, GA, Accounts & IT)
Role :
The position entails managing all aspects of Human Resources, Accounts, General Affairs, and IT. The position upon hiring is Assistant Manager, but promotion to Manager is contingent upon performance.
The role will oversee and coordinate various administrative functions within the company, including but not limited to Human Resources, Accounts, General Affairs and preferably Information Technology.
1. Should demonstrate strong leadership skills,
attention to detail, and the ability to effectively manage multiple responsibilities in a fast-paced environment.
2. Prepare Annual Business Plan for the dept, based on the business direction and strategy.
3. Conduct Monthly PDCA / weekly meetings with the team to achieve the targets.
4. Handle Internal Audits and reporting of resolution activities.
Human Resources
1. Well-versed with the UAE Labour Law & JAFZA Labour Laws.
2. Strong HR experience and expertise to enhance employee satisfaction and execute activities in accordance with the company objectives.
3. Experience in constructing an ideal salary system.
4. Handle employee relations issues and provide guidance to management and staff on HR-related matters.
5. Corporate Governance and Risk Management : Conduct trainings, implement activities and ensure company compliance.
6. Manage the recruitment and onboarding process.
7. Propose and implement HR-related employee programs (trainings & development).
8.
Support employee evaluation processes and reporting to Management.
General Affairs
1. Facility Management to ensure a safe work environment (Maintenance, security etc).
2. Strong Vendor Management and contract negotiation skills
3. Handle renewal of Medical Insurance, Facility Insurance & Fleet Insurance.
4. Monitor office supplies procurement and inventory management.
5. Organize company events, meetings etc, as needed.
6. Monthly Time & Attendance reporting to Dept Heads.
7. Travel Management : Oversee travel arrangements for employees, including booking flights, hotels, visa etc.
Accounts
1. Strong understanding of accounting practices for Representative Office (Cash-based accounting)
2. Budget Management : Develop and effectively manage budget for Administration Dept.
3. Ensure compliance with financial policies and procedures (UAE Govt & Headquarters)
4. Oversee accounts payable processes, ensuring timely and accurate payments.
5. Management Reports on budget status & variation, pooled fund requirements etc.
6. Liaise with VAT Consultants & internal auditors and regulatory authorities as required.
7. Ensure Employee Salaries and reimbursements are completed in a timely manner.
8. Handle upgrades and roll-out of Accounting ERP System modules. Eg. Payroll
Information Technology
1. Manage IT infrastructure and ensure minimal business disruption.
2. Ensure Global IT Risks are mitigated to prevent risk to Offices worldwide.
3. Develop and implement IT policies and procedures to support company objectives.
4.
Ensure Life Cycle Management of IT devices is done based on mid-term plan.
5. Ensure data security and compliance with relevant regulations such as GITSP etc.
6. Provide technical support to staff for hardware, software, and system issues.
Candidate Requirements :
1. Experience
- Bachelors in Business Administration
- Minimum 5-6 years experience in similar Managerial role
- Especially in Human Resources, General Affairs & Accounts.
2. Language / Knowledge
- English Language (Oral and Written)
- Arabic (Not mandatory but would be a plus)
- Computers skills (PowerPoint, Excel, Word)
