JOB TITLE: Senior People Executive

REPORT TO: People Partner

ROLE:

As a Senior People Executive, you will support the People Team and work closely with the People Business Partners.





You will be responsible for partnering and supporting line managers in motivating and engaging the teams, treating people as individuals, and ensuring fair access to opportunities. The Senior People Executive must first and foremost be the guardian of administrative procedure, contributing ideas for continuous improvement. There will also be opportunity to be involved in People projects and initiatives.

KEY RESPONSIBILITIES

Talent Acquisition

1. Ensure all open positions are uploaded to the hiring tool and ensure roles are fully approved before offers are made.
2. Post all open vacancies on LinkedIn and other job boards & media channels.
3. Sourcing, filtering, and screening candidate applications, identifying potential candidates, and maintaining talent database.
4. Obtain and ensure satisfactory reference checks are completed for all colleagues in line with company policy. Liaise with external provider to ensure relevant staff obtain background checks.
5. Management and maintenance of the freelance process.

Onboarding and Offboarding







1. Welcoming new hires personally and introducing them to their team, their buddy taking them for office orientation.
2. Scheduling onboarding sessions and tracking attendance.
3. Coordinating with practice leads on their onboarding sessions and presentations updates.
4. Issuing contracts of employment and ensuring the new starter packs are ready.
5. Managing the Buddy Program and coming up with ideas for improving the program.
6. Monitoring and auditing the new hire document filing process to ensure it adheres to standard procedures and is SOX compliant.
7. Ensuring authorization of records are kept for any changes to employee’s terms and conditions and records are kept on relevant systems in line with audit requirements.
8. Managing the probation period cycle,





ensuring managers are informed in a timely manner of any deadlines, highlighting any issues on returned documentation to the People Business Partner.
9. Monitoring and tracking the probation outcome and ensuring line managers send the confirmation emails on time to their employees.
10. Checking and tracking mandatory WPP training for new hires is being completed on time by all new hires.
11. Undertaking exit interviews with all juniors to mid-level leavers and updating the exit interviews tracker on time.
12. Assisting the People Business Partner in preparing the exit survey and exit interviews quarterly and annual reports and making recommendations based on outcomes.
13.





Ensuring all offboarding documentation and exit clearance processes are done properly and as per the SOX requirements.
14. Overseeing the new visas and cancellations in the UAE in coordination with the PRO.
15. Providing advice on Company policies and procedures where appropriate, escalating any issues immediately.
16. Supporting colleagues with all different People platforms enquiries and requests.

Legal and Compliance

1. Maintain accurate employment records in compliance with SOX and audit requirements.
2. Ensure all People activities are compliant with local employment legislation, SOX requirements and company’s best practice.
3. Facilitating and assisting in the regular HR and Finance employee data audits.
4. Ensure all monthly payroll processes are adhered to and delivered in a timely and efficient manner to agreed SLAs and deadlines.
5.





Prepare the payroll update sheet and submit to People Partner for approval.
6. Ensure all documents are accompanying the payroll update for audit purposes.
7. Assist the People Partner in the Global and Regional Mobility program “Glide”.
8. Supporting colleagues with their medical insurance enquiries and requests.

Performance Management

1. Support performance management cycle and processes and provide support on the PM platform.
2. Track completion of performance reviews, managers feedback and employee feedback.
3. Assist the People Partner and the L&D; Lead in identifying training to map against training needs.
4. Assist the People Partner in the Employee Disciplinary and PIP process.

Training

1. Supporting regional training programs, calendar maintenance, and scheduling trainings.
2.





Research suppliers and support with Learning and Development courses and training logistics.
3. Ensure training attendance is kept up to date and provide training reports as needed.
4. Administering training feedback and preparing feedback report to present to People Director.

People and Data

1. Providing ongoing support to the team on People related matters, policies, and procedures.
2. Ensure Unity is updated with all employee’s data and ensure records are up to date accurately.
3. Provide regular holiday and absence reporting and manage the annual carryover process.
4. Generate ad hoc report for People Department and management.
5. Help the People Partner with HR Dashboard and other business intelligence reporting needs.

Culture and Engagement

1.





Working with business groups to assess, create and implement innovative solutions for a variety of engagement initiatives.
2. Manage the annual employee engagement survey and assist the People Partner in the action planning and the employees’ roundtables.
3. Assist the people manager with employee grievances and keep a log.
