We are seeking a highly skilled Procurement Manager with a background or interest in the event industry to join our dynamic team.
The Procurement Manager will play a pivotal role in sourcing, negotiating, and managing contracts with suppliers to ensure the successful execution of our events.
The ideal candidate will have a strong understanding of event logistics, vendor management, and cost optimization strategies.
Key Responsibilities :
1.Vendor Sourcing and Selection :
- Identify and qualify suppliers, vendors, and contractors for various event-related services, including venue rental, booth construction, audiovisual equipment, catering, and promotional materials.
- Conduct thorough market research to assess vendor capabilities,
pricing, and quality of services.
- Build and maintain a robust supplier database to support current and future event requirements.
2.Contract Negotiation and Management :
- Negotiate favorable terms and conditions with vendors to optimize pricing, payment terms, and service levels.
- Draft and review contracts, purchase orders, and agreements with suppliers, ensuring compliance with company policies and legal requirements.
- Monitor vendor performance and enforce contractual obligations to mitigate risks and ensure service delivery meets quality standards and timelines.
3.Cost Control and Budget Management :
- Develop and manage event procurement budgets in collaboration with the finance department, ensuring cost efficiency and adherence to financial targets.
- Implement cost-saving initiatives, such as bulk purchasing, competitive bidding, and contract renegotiation, to maximize procurement value and minimize expenses.
4.Logistics Coordination :
- Coordinate logistics and scheduling of vendor deliveries, installations,
and services to support event setup, operation, and breakdown.
- Collaborate with cross-functional teams, including operations, marketing, and sales, to align procurement activities with event timelines and objectives.
5.Risk Assessment and Compliance :
- Identify potential risks and vulnerabilities in the procurement process and develop mitigation strategies to safeguard event operations and reputation.
- Ensure compliance with relevant industry regulations, standards, and ethical practices in vendor selection, contract negotiation, and procurement operations.
6.Technology Integration and Innovation :
- Stay abreast of emerging technologies and trends in event management and procurement practices,
seeking opportunities to leverage digital tools and automation for process optimization and efficiency gains.
- Explore innovative solutions and alternative sourcing strategies to enhance event experiences, reduce costs, and differentiate our offerings in the market.
Qualifications and Skills :
- Proven experience in procurement, purchasing, or supply chain management, preferably in the event or exhibition industry.
- Strong negotiation skills and ability to build effective relationships with suppliers and stakeholders.
- Excellent analytical and problem-solving abilities, with attention to detail and accuracy.
- Proficiency in procurement software and tools, such as ERP systems, e-procurement platforms, and Microsoft Office suite.
- Outstanding organizational and multitasking skills,
with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Effective communication and interpersonal skills, with the ability to collaborate across departments and influence decision-making processes.
