- Organize and coordinate day-to-day schedules, including appointments, meetings, and submissions.
- Attend to the needs of the direct manager and the entire department staff.
- Manage communication channels and respond to correspondence appropriately.
- Prepare and send letters to external resources and internal departments, and follow up on replies and correspondences.
- Prepare and manage tender submission documents, ensuring timely and accurate communication with relevant departments to obtain necessary information.
- Receive, review, file, maintain, and distribute related documents, ensuring they are regularly updated and easily accessible.
- Handle and distribute incoming and outgoing mail.
- Handle confidential information with discretion and professionalism.
- Communicate effectively with other departments and external entities.
- Provide general administrative support, including taking phone calls, handling inquiries, and managing the office calendar.
- Perform special tasks and duties as assigned.
Requirements:
- Proven experience as a Secretary, Document Controller, or in a similar role within the construction industry.
- Proficient in Microsoft Office Suite.
- Exceptional organizational and time-management skills to manage multiple tasks efficiently.
- Strong communication and interpersonal skills to work collaboratively with team members.
- Excellent written and verbal communication skills.
- Ability to maintain a professional demeanor under pressure and handle confidential information.
- Familiarity with tendering processes and documentation in the construction industry is highly desirable.
Preferred Skills:
- Knowledge of construction industry standards and terminology.
- Experience with document management systems and software.
- Attention to detail and accuracy in document preparation and management.
