**Job Overview**:
**Key Responsibilities**:
- **Logistics Documentation**:
- Prepare, organize, and maintain all logistics-related documentation (e.g., shipping manifests, delivery notes, customs paperwork).
- Ensure that all shipping and delivery information is accurately recorded and up-to-date.
- **Invoicing & Accounts**:
- Generate, review, and process invoices for vendors and suppliers.
- Address discrepancies and resolve invoice issues promptly with vendors or internal teams.
- Track and monitor payment schedules and ensure timely processing of accounts payable and receivable.
- **Communication & Coordination**:
- Coordinate and follow up on logistics and invoicing matters to ensure smooth communication between departments.
- **Administrative Support**:
- Provide general administrative support, including filing, scheduling, and maintaining records.
- Assist in tracking inventory and shipment statuses as needed.
- Perform other ad hoc duties as required by the management team.
**Requirements**:
- **Fluency in Portuguese** (both written and spoken) is essential for communication with Portuguese-speaking vendors and stakeholders.
- Proven experience in an administrative or coordination role, ideally within logistics, accounting, or operations.
- Strong attention to detail and the ability to multitask in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar software.
- Experience with invoice processing and basic financial operations is a plus.
- Strong communication skills and the ability to work effectively with both internal teams and external partners.
